Balboa Peaks’ DocDownloader program (also referred to as Export Utility) provides bulk extraction of content from VIP DocManager Image Capture Servers and VIP DocManager Report Capture Servers. Document files and meta-data values extracted from the VIP DocManager server(s) are written to a Windows compatible file system where they can be read or processed by other ECM applications such as SharePoin
Export Documents to SharePointThe export utility extracts both documents and index
values from the VIP DocManager server and stores them into independent disk
files. Report files (also referred as COLD documents) are exported and
converted into ASCII text format for importing into SharePoint .
The export process can be managed in stages;
if new documents are added to the system after the export process is
complete, those new documents can be selectively exported.
Balboa
Peaks’ DocDownloader program is not a service; customers do not need to
ship their data and / or optical disks to us for conversion. It is a utility program
that clients can use to export documents at their locations as
needed.
In addition to providing the export utility, Balboa Peaks
also provides the support services needed to ensure that the export
process is successful. We will assist you in analyzing your situation to
determine the best approach. And, if needed, we will make reasonable
customizations to adapt the export utility to your specific needs.
Export Options
Balboa Peaks’ export utility provides the following
export options:
• Documents to be extracted can be selected by
Document Class and DocLink Index values.
• Documents may
optionally be filtered by an "Additional Selection Criteria" in the form
of an SQL expression, including cross linking to ERP databases.
• Interactive Mode - Using interactive mode
you can enter search criteria in a guided fashion, with prompts for the
various fields.
• Batch Mode is used to download files by
specifying the search criteria in a Comma Separated Value (CSV) file
allowing multiple document class selections.
Output Format
Balboa
Peaks’ export utility stores VIP DocManager documents in disk
files within a Windows compatible file system. Two summary files are
created in the root of the Output path specified: DocDownload.HTML and
Release.txt.
DocDownload.HTML - This file is designed to be
easily legible using a web browser. Users can simply click on
any row in the table to see its associated file.
Release.txt -
This file contains file information in a format more easily processed by
other computer programs. The Release.txt is used by SharePoint and
other ECM repositories to easily import the applicable data.
For each batch of documents extracted,
the following files will be created:
• One file containing the
indexing information for the entire batch of documents. All user defined
and system index fields are exported.
• Index information for
each document is combined into a single "CSV" file with one record for
each document, including extended meta data.
• One file for each
document in the exported document. VIP DocManager images can be
exported as TIFF’s or PDFs.
• Large exports are automatically
split into multiple directories with up to 1,000 documents per directory.
• COLD documents are written as text.
• Log files are created showing all
activity and any errors.
Additional Conversion Options
In addition to the standard output files described above, additional conversions and reformatting can be performed. These supplemental conversion options are provided in order to present the extracted documents in a more usable format.
