What are the issues ?
- So what are you going to do with all that data ?
- How do
you fulfill your legal obligations to keep valid copies of documents for specific
time periods ?
- Auditors will need access to reports for
several years. Management wants access to the reports forever.
- Design documents
must be accessible where products are still available.
- Test and material
certificates must be kept for the products life- 20 years? 20 years ?
In these post Enron
days, we all have to consider long term data storage. What are the options ?
- Keep
the AS/400 running in the corner, just to house the archive - There is a massive
expense related to this. Expertise, management, hardware maintenance, power, etc.
- Reprint copies of all documents - Incredibly expensive, eco-unfriendly and
highly time/space consuming... not a realistic option even for the smallest
organization.
- Migrate the documents into an alternate document management
system ( e.g. DocManager Windows server based version), which is possible, but costly,
and probably duplicates a preferred solution.
- Utilize the Balboa Peaks bureau service to electronically store the old
documents enabling secured access across the internet.
